Updating and/or Changing the database material pricing and/or labor
There are 3 methods to updating the database
Method #1
This is not a menu item under Admin but a separate function
1. Create a project called UPDATE Database (see creating a project)
2. To update the database open the project called UPDATE Database
3. Bring up the parts window of the parts you want to update
4. Right Click the part you want to update (Make sure you are at the Parts Level)
5. Select “Change Master Database”
6. Enter the changes you want to make
7. Click update
Administrators may also update the master database inside any estimate
Method #2 - Administrators only
1. Prior to opening a project your are in the administrator mode. Click "Admin" then click "Edit Master Database"
2. Drill down to the parts you want to edit
3. In the bottom box you can change the
a. Material price (M Comp, Low, Med , High),
b. Labor (L Comp, Lev 1, Lev 2, Lev 3)
c. Cost Code (CC)
4. The UOM - Unit of Material (E=each, C= hundreds, M=thousands) is located in the far right box. Do not change
the UOM but use it as a guide when changing the database.
5. When you are complete just close the box by clicking the red X in the upper right hand corner of the box. The
changes are automatically saved.
Method #3 - Administrators only
In this method you will automatically export a file to your desktop and email it out to your vendor. After the vendor updates your pricing and emails it back, simply place it on your desktop and click the "import" menu item at the top of the Database Box. Your pricing has now been updated. We highly recommend a training Webinar prior to updating the material and/or labor using this method.
1. Prior to opening a project your are in the administrator mode. Click "Admin" then click "Edit Master Database"
2. Drill down to the parts you want to edit
3. Click the "Export" menu item towards the upper right area of the database box
4. A box will appear with the words "ACES export.csv is now on your desktop" Click "OK".
5. Find this file on your desktop and open it.
6. Row 1 is your header row - do not make any changes to this column
Column A is your part #, do not make any changes to this column
Column B is your part description, do not make any changes to this column
Column L is your UOM (see above), do not make any changes to this column
7. Columns C, D, E, and F are your material columns
Columns G, H, I, and J are your labor columns
These columns can be changed, deleted or modified. We recommend deleting all your columns except A, B and
C prior to sending it out to your vendor for privacy reasons. You may not want your vendor knowing what you use
for labor.
8. When you have the spreadsheet ready, email it to your vendor and ask him to update his pricing in the
competitive column "C".
9. When you receive the email back simply save it to your desktop, make sure that the name of the file is
still "ACES export.csv" and click the "Import" menu item in the upper left part of the database box.
10. Your database has now been updated with the new competitive prices.
11. Please see the help file within ACES Pro and click Administrative Functions, then click Update Master
Database for more information.
12. There are Advance Class Webinars that you should take prior to using this method. You will be taught exactly
how you properly use this method for fast and easy updating of your database. You will also receive tips on how
to modify your different material and labor levels. After this class you will be able to update your database in
minutes.
The Material pricing in the database may not reflect what you are actually paying. Review and re-price the material as you may deem necessary to reflect the price that you are paying.
All Labor hours/units associated with material in the database are based on over 35 years experience in the electrical industry. Most of these labor units were established over 35 years ago. They have continually been scrutinized and update over time. The labor units are not those of any nationally recognized association or company. Please revise these labor hours/units as you deem necessary to reflect the labor hours/units you require for your company.
